Serves as working supervisor providing business office leadership and oversight of the financial, operational, and personnel activities of the VDL Business Office in a large and complex laboratory operation. The duties for this position will include: assisting with and/or performing the full range of clerical duties of the employees they supervise; working closely with the VDL Business Manager for the facilitation and management of accounts receivable, accounts payables, and purchasing for VDL ; utilizing and managing an internal accounting system; payment posting and reconciliation of all VDL external and internal clients; assisting with resolution of client billing inquiries and overall case management; charging uploads from the VDL laboratory information management system (LIMS), client account maintenance, and assisting with trouble-shooting and interacting with VDL IT support for maintenance of the system. Accounts payable activity includes, but not limited to: facilitation and oversight of laboratory supplies and equipment purchases; referral testing with other laboratories and all expenses and utilities associated with the operation of the laboratory; heavy utilization and knowledge of the LIMS, Cerner, in the areas of client account creation and maintenance, test coding, and charging details; act as a supportive role in costing/pricing of test offerings and maintenance of this information in LIMS; preparing and/or assisting with daily, monthly, and annual reporting to the business manager and administrative staff; leading and participating in the overall support and vision of VDL in the areas of Quality Assurance policies, creation, and maintenance of standard operating procedures and process improvement endeavors; participating in departmental meetings.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which would be acquired in the first two or three years in college, technical, vocational or business school with coursework in a field related to the area of employment; one to three years of related and progressively more responsible or expansive work experience in performing tasks related to the area of employment, and may require one to three years supervisory experience; or an equivalent combination of education and experience.
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in business, accounting or finance; one to three years experience supervising staff and processes in a business operation. Strong proficiency with Microsoft Excel, Word, and Access software; ability to receive, collect, and process complex and diverse information in order to analyze options and resolve client problems independently and support the overall departmental strategic business objectives; excellent written and oral communication skills; ability to function as a team leader within and across multiple lab sections; strong customer orientation and positive customer service/telephone skills, and medical/veterinary vocabulary; knowledge of university internal support organizations, university policies and procedures, EBS/KFS for cash receipts, REQ/PO, internal billing, stores/open orders, Pcard, Business Intelligence reports, Cerner, and Sage MAS 90/200 a plus.
