The Fiscal Operations Specialist fulfills a number administrative, fiscal, and operational responsibilities in support of CPS' Office of Finance, Administration and Business Planning. The incumbent will be responsible for providing comprehensive administrative and project support to ensure smooth functioning of the finance unit, and contributing to the overall efficiency of the unit. This position requires leadership, problem-solving skills and the ability to make independent judgments, particularly during times when the Senior Associate Dean and Director of Finance and other administrators are not available. This position interacts with other senior level offices at the University. Accordingly, the candidate must be able to communicate professionally and effectively.
Essential functions include but are not limited to: Procurement- Ensure appropriate documentation (i.e. contract, professional services agreement , etc.) are in place to support the purchase. Ensure proposed purchase in compliant with University policies such as bid requirements, preferred vendor, etc.
Acting as the business intelligence (BI) manager for Concur system. In this role, the incumbent must be familiar with all operating aspects of Concur, including knowledge of available reports, and other systems capabilities. Act as point person for such reports, and assist new users with system.
General fiscal operations: Facilitate various internal financial transactions as necessary, such as budget transfers or journal vouchers. Validate the information being submitted for accuracy, and relevance.
Calendar management. Coordinate and maintain highly complex, dynamic calendar to ensure that the schedule flows smoothly. Use judgment and diplomacy to prioritize and schedule meetings with senior staff, other Deans, faculty, and students. Identify and resolve conflicts before they surface. Use discretion to juggle calendar and shift around appointments as necessary. Anticipate needs by independently soliciting and providing necessary background and research materials in a timely way to ensure that the Senior Associate Dean is well-prepared for all meetings and events.
- Take on special projects that support the staff. Maintain all appropriate records.
Bachelors degree required, Masters preferred. Minimum of 2-4 years of progressive administrative/operational responsibility with an emphasis on operational planning in a fast-paced and service-oriented environment. Ability to working in a highly flexible and innovative environment with an expanding role and shifting responsibilities. Strong interpersonal and written communication skills (including very strong writing and proofreading skills) required. High degree of diplomacy, customer service and organizational skills required. Demonstrated ability to handle multiple tasks simultaneously, respond to last minute requests, solve problems, act with discretion, adapt to change and maintain professional demeanor at all times. Willingness to be pro-active, take initiative and ownership, build win-win situations. Sound judgment and ability to deal effectively with matters of a highly visible and confidential nature is essential. Must be able to handle sensitive material, maintain highest level of confidentiality, multi-task, set priorities and work independently or as part of a team. Demonstrated leadership skills with the ability to successfully function in a team environment. Flexibility to accommodate and respond to direction from multiple sources. Ability to make independent decisions, manage multiple projects, and represent the Senior Associate Dean and Finance team in a professional manner. High degree of proficiency with MS Office products including Word, Excel, Access, Power Point, Outlook and database management. Sophisticated experience with Power Point required.
