Budget Title: Staff Assistant (SL-2)
Salary: Commensurate with experience and qualifications.
The administrative assistant for academic affairs and assessment and health outcomes and administrative sciences in the school of pharmacy and pharmaceutical sciences will: (1) coordinate maintaining FERPA protected student records and other administrative matters and assume general responsibility for the administration of the associate dean for academic affairs and assessment and the director of assessment in the school of pharmacy and pharmaceutical sciences and (2) assist the health outcomes and administrative sciences department with general administrative duties. With direction from the associate dean, the administrative assistant performs these duties while providing clear communication of goals and progress. Primary duties include the following:
Coordination of the personnel and business aspects of the department, including personnel documentation and HR Forms, and utilize the University's Business Intelligence system to monitor the department budget, track expenditures, process travel reimbursements, revenues and requisition for purchase orders. Routine monthly budget reconciliation and analysis in support of the health outcomes and administrative sciences department
Support assessment activities for the school including data management, report assemble and preparation
Develops an expert understanding of all university business policies and procedures including travel and procurement to handle all purchasing and execution of travel plans as well as payments in support of programming and day-to-day operations
Quickly and accurately create, organize and maintain department-based data, records, minutes and documentation. Maintain and assist with updating approved department policies and procedures, student records and other academic documents
Coordinate appointments, calendar and travel for the office of academic affairs and assessment and the chair of health outcome and administrative sciences and travel for departmental faculty
Course building including preparation and management of course schedules and syllabi
Act as liaison between the department, dean's office and other University offices and external institutions
Minimum of 3-5 years of administrative experience, preferable in higher education
Advanced proficiency in Microsoft Excel and Word
Proficiency in Microsoft PowerPoint
Demonstrated aptitude in learning new applications and systems
Excellent attention to visual and procedural detail
Strong organizational abilities
Excellent oral and written communication skills
Ability and willingness to learn and master other software packages, such as MyCourses (Blackboard), ExamSoft and Banner
