UW Medicine Compliance, under the strategic guidance of the Compliance Officer (CO), who also functions as the Privacy Officer (PO), oversees the development and coordination of compliance programs across a wide range of risk areas, including clinical documentation/coding/billing, HIPAA, privacy and information security, EMTALA, hospital-related research compliance (including clinical research billing), workplace ethics, industry relations, and conflicts of interest. Program functions include development of policies and standards, auditing, monitoring, education/outreach, investigations, risk assessment and mitigation, regulatory monitoring and program modification, and on-going evaluation and reporting of program effectiveness. The UW Medicine Compliance Officer has a direct reportage to the AVMPA/Chief Compliance Officer, as well as dotted line accountability to the Executive Directors of the hospitals, clinics and Airlift Northwest. The UW Medicine Compliance Officer collaborates with compliance officials throughout the enterprise in order to address and mitigate compliance risks.
In general, UW Medicine Compliance PI Analysts are responsible for performing daily activities required to fulfill the goals, work plans, initiatives, and duties related to a specific Compliance program element or content area. All PI Analysts provide analysis, research and support for the development, implementation, and maintenance of program elements, including policies, regulations, procedures, work plans, audits, complaints, inquiries, education and training enrollment and completion data, and risk assessments.
PI Analysts work closely with clients, customers and other team members to analyze business processes and data, develop user requirements and functional specifications, implement business intelligence testing and prepare reports on data products and results for the UW Medicine Compliance executive leadership team including the AVPMA/CCO of UW Medicine, the UW Medicine Compliance Officer and UW Medicine Compliance Assistant Compliance Officers.
PI Analysts must think tactically and strategically, attend to details and follow up on project requirements and assignments; work collaboratively with others in an effective manner to facilitate problem solving. Communicate effectively orally, in writing and graphically. Facilitate and participate with teams and groups to achieve results. Recommend, improve or create new processes to support collection of data or enhancements used by the department.
PI Analysts are part of a team of analysts that deliver unit-based management initiatives and process improvement projects, participate in system-wide initiatives and projects, and provide project management as assigned.
PI Analysts conduct needs assessment and project scoping and manages projects on behalf of UW Medicine Compliance ACO. PI Analysts aid in identifying and ensuring the leadership strategies are facilitated in to deliverables and are of the required quality, i.e. are capable of delivering the benefits defined in the business case, and produced within the agreed time and cost. Additionally, this position gathers and assimilates copious amounts of information and data sufficient to develop position statements/papers/reports and recommendations.
The PI Analyst reports to the Manager of Regulatory Reporting with daily oversight by the IM Manager.
Develop, write, and edit the publication of reports that summarize the key aspects of findings from complex material, projects, etc., and present the information in a way that is concise, comprehensible, and of value in decision-making to the Executive Team, policymakers, and other audience members.
Statistical and data analysis of unit and program data including development of conclusions and recommendations.
Design, development and ongoing operational performance metrics and reports; and dashboard development utilizing BI reporting tools.
Manage administrative processes of trending and analysis, for the sub-unit.
Produce periodic information management reports executed with critical accuracy. Reports are broadly distributed, used and understood by all constituent groups; therefore accuracy and efficiency are required. Reports are used in education and training planning, quarterly risk assessment, strategic planning, and quarterly and annual reports.
Develop process to collect required data from various sources to analyze and prepare reports for leadership's strategic planning sessions.
Participate in data stewardship and data quality initiatives. Utilize data audit reports to proactively project issues with supportive risk mitigation recommendations.
Monitor compliance data & activity generate scheduled and ad hoc reports used to enable leadership to measure compliance with regulatory requirements.
Access and appropriately utilize source documentation/references in order to analyze and respond to, or refer compliance inquiries and requests for information.
May represent UW Medicine Compliance on institutional committees, workgroups and taskforces;
Collaborate with IM Manager to design and develop information management dashboards that overlay and relay strategic goals juxtaposed status reports and recommended mitigation strategies.
Participate in the development of, and daily us of, compliance information processing systems, databases and applications designed to track and report compliance activities, projects and functions.
Maintain UW Medicine Compliance information tools, data, data warehouses, and third party software applications
Participate in the quality validation on database design and content.
Participate in the design, build and maintenance of information systems and databases designed to track and report compliance.
Coordinate common points of information gathering and leverage in order to identify data warehouse strategies.
Participate in the review and recommendation of technological alternatives to streamline functions and improve unit productivity and or tracking and or reporting.
Maintain technology policies, standards and procedures manual; maintains related technology checklists as required.
Maintain access to the UW Medicine Compliance network, folders, etc.
Maintain and retain highly detailed written documentation of actions, activities or assessments in accordance with state and federal law, and institutional policies.
Website Maintenance (Internet and Intranet):
Partner to develop strategies and communications that portray the overall of healthcare compliance.
Participate in the development of website content and implement changes and updates to website, including general and project-specific content.
Advanced website maintenance to minimize dead links, refresh content, and establish analytics reports.
Coordinate project-based analytics to report on effectiveness of outreach efforts; partnering with the other PI analysts to prepare cohesive outreach impact reports.
Successfully utilize a variety of web/outreach applications (Adobe Creative Suite, WordPress Content Management System, email marketing tools, Confluence Wiki, Microsoft Office Suite and Google Applications).
Maintain the UW Medicine Compliance intranet site to include useful information for the end user to include resources, guides, toolboxes, etc.
Highly advanced Microsoft Office skills to include Excel (formulas, filters, charts, graphs, logic, and scripts), Word (tables, text boxes, shapes, multi-level page actions), and PowerPoint (outline, transitions, toolbars, customization, slide deck management); as well as Adobe Acrobat (forms, PDF security, document creation, video, layering).
Exercise an advanced degree of professional judgment in communicating, verbal and written, with all parties.
Participate in a variety of projects, actively contributing to timeline development, critical path identification, communications and reports. May lead small projects, and serve as junior project manager for enterprise-wide projects.
Ensure completion of standard deliverables, as appropriate.
Obtain client requirements, memorialize project goals, identify scope, and outline constraints along with risk mitigation strategies.
Create project plans and charters in consultation with subject matter experts.
Develop, memorialize and track project plans, work plans, and communication plans to support multiple UW Medicine Compliance projects, initiatives, and stakeholders and partners.
Administer projects including timeline development, project milestones, and project governance.
Develop/facilitate stakeholder meetings to support the strategic goals and objectives of the UW Medicine Compliance program, and identify issues, track, assess risk and escalate as needed.
Communicate project updates to project team and executive leaders.
Participate in change management in consultation with the UW Medicine executive team, project owners, and various enterprise-wide stakeholders.
Research, create and maintain project management and communication tools related to project planning and project status through the use of meetings, webinars, dashboards, and SharePoint sites. Use tools to communicate with all levels within the organization, including those with limited IT/LMS knowledge.
Develop and maintain a detailed workplan to include projects, initiatives, and tasks; utilizing tools and analyzing data in order to generate status reports and task reminders; monitor timelines as needed; manage associated documentation; report on resource viability; and make recommendation to project mitigation as needed.
May train and lead staff as needed.

CONDITIONS OF EMPLOYMENT:
UW Medicine Compliance manages a significant volume of audits, inquiries and consultations. Work priorities shift in response to fluctuating demands. Full time schedules are assumed to be at least 40 hours, however, incumbents are expected to remain flexible to accommodate the unit's goals and mission, and to work beyond their normal schedule when necessary.
Appointment to this position is contingent upon obtaining satisfactory results from a criminal background check.
